The objective of the handbook SA/SNZ HB 168:2017 is to provide guidelines for processes, procedures and systems for implementing a document control program. FYB DocuControl has undergone a significant review to ensure compliance with the SA/SNZ HB 168:2017 - Document Control Systems Standard and the application now has all features required to be a compliant controlled document system.
Stakeholders can now be added to a contact list on the controlled document in Content Manager and any users on this list will receive a notification when a new version of that document is published.
Admins can now disable the document download functionality so that copies of controlled documents cannot be downloaded and shared.
Any document that is downloaded from the application will now be watermarked with a message saying: Downloaded on [TODAYS DATE].
An entry is now added to the CM audit events if a user downloads a document from the application.
Users can now search for documents using its container classification.
Users can now flag an issue with any document they view. This allows them to enter a comment to describe the issue which will be sent to the document control officer.
Documents can now be marked as obsolete in the system and they will be excluded from the automatic scheduler review process.
The published feature has been made mandatory meaning that for documents to be displayed in the application they must be finalized AND published. This ensures that admins have a reliable mechanism for unpublishing a document without having to unfinalize all versions of a document.
