Microsoft 365’s default, out-of-the-box configuration is not compliant with Australian recordkeeping standards or legislation, but this doesn't mean it can't be used in a way that would meet your records management needs.
What is Microsoft 365 (M365)?
It is a cloud-based, subscription suite of products and depending on your subscription, it may include products such as SharePoint Online, Word, PowerPoint, Microsoft Teams etc.
The Australasian Digital Recordkeeping Initiative (ADRI) is developing guidance on M365 but until the guide is released here are a few resources that may help you:
What steps should you take?
In simple terms, you will need to:
- Work with internal IT to understand, configure, apply governance, monitor and manage M365
- Integrate M365 with an electronic document and records management system (EDRMS) such as Micro Focus Content Manager
- Use a combination of these measures to achieve recordkeeping compliance
But don't worry, this is where FYB can assist.
We can provide you with guidance and advice to ensure you are providing a seamless collaboration and communication solution to your users with the recordkeeping compliance requirements taken care of in the background.
