The Solution

The FYB 365|2CM App automatically transfers information from SharePoint and Microsoft Teams into OpenText Content Manager.

About the Council

Hume City Council is one of Australia's fastest-growing and culturally-diverse communities and is home to nearly 249,000 residents. Spanning a total area of 504 square kilometres, the City is located in Melbourne’s northern fringe, just 15 kilometres from the centre of Melbourne.

Challenges

  • Hume City Council, like many organisations, had to adapt quickly to a working from home workplace model, part of the solution for this was to implement Microsoft Teams as a collaboration workspace for staff
  • Rapid deployment and uptake of MS Teams led to a disconnect between Teams and meeting our records management obligations

Benefits

Using FYB 365|2CM has:

  • Provided a solution to link MS Team sites with containers in Content Manager to ensure that records are being captured into the council’s recordkeeping system
  • Made it easy for staff to work within the one environment without having to duplicate efforts to ensure documents are also captured in the recordkeeping system

Implementation

Implementing this solution was a rather painless process as stated by Hume City Council. FYB undertook the installation of the application for the council and provided the application administrators training in how to set up the backend of the product to ensure the magic happened at the front end for users. There really was no training required for the end users as the solution happens entirely in the background.

“The solution can be implemented so quickly and is relatively simple to maintain”

Paul White, Coordinator Corporate Knowledge, Hume City Council
